This article outlines how a Pro Teams Administrator can add existing Sync user accounts to their Teams plan. This process is useful if you have employees at your organization who have previously created a Sync account not connected to your Teams account. We'll cover the following:
As of June 16, 2025, the process for inviting existing Sync user accounts to a Teams plan has changed. This article outlines new steps the Administrator can take to bring those accounts under management.
Administrator Steps
If one of your team members already has a Sync account (created independently), and you’d like to bring them under your Teams plan, follow the steps below:
1. Have the user change their email address
Instruct the Sync user to:
- Sign in to the Sync web panel.
- Go to Settings > Profile.
- Change their email address and confirm the update.
This step will release the original email address, allowing you to create a new Teams account for them using that email.
2. Add the user to your Teams account
- In the web panel navigate to the Users & roles tab and select add a new user using the now-available original email address.
- The user will receive an invitation via email to activate their new account.
3. New account setup by user
- The user clicks the activation link in the email.
- A new tab opens, prompting them to set a password.
- Once complete, the user signs in.
- The new Sync account is now active under your Teams plan.
At this point, two Sync accounts exist:
- Old Sync account (with a changed email address): contains the user's original files.
- New Sync account (with the original email address): empty, but part of your Teams plan.
4. Transfer files to the new account
If shared folders were used:
- Reshare, ask your team, or original collaborators to re-invite the new account (here they will be re-inviting the same original email address).
If the user has files that are not in shared folders:
- Instruct the user to share their files from the old account to the new Teams account.
- If needed, the user can download files from the old account and upload them to the new one via the web panel, or desktop application if they have larger files.
If the user was previously using the Sync desktop or mobile app, they’ll need to uninstall and reinstall the apps to connect to their new Teams account.
- Delete and reinstall the mobile app
- Uninstall and reinstall the desktop app
Steps for the User
If you're a Sync user being migrated into a Teams plan, follow these instructions carefully:
1. Change your email address
To release your email address:
- Sign in to the Sync web panel.
- Go to Settings > Profile.
- Change your email address and confirm the update.
2. Accept email invitation
You’ll receive an email invitation:
- Click the link in the invitation.
- Set a new password when prompted.
- Sign in to your new Teams account.
3. Transfer your files
If you have files in your original Sync account:
- Sign in to the old account (with the updated email).
- Share your files or download and upload them to your new account via the web panel.
If you had the desktop app installed:
- Uninstall and reinstall the app.
- Sign in with your new Teams account.
- Move any local files from the old Sync folder into the new one.
4. Regain access to shared folders
- Ask your admin or collaborators to re-share any previously shared folders with your new account.
5. Reinstall apps
If you were previously using the Sync desktop or mobile app, you’ll need to uninstall and reinstall the apps to connect to your new Teams account.
- Delete and reinstall the mobile app
- Uninstall and reinstall the desktop app
